Estimator as receptionist

Every price check on a cracked lite pulls someone off a takeoff. You can’t hire around it. Glaziers are hard to find.

Missing details

No width, no height, no thickness, no word on tempered. Nobody can quote that, so it goes back and forth for days.

Bid invite pile

BuildingConnected invites, PlanHub notices and GC emails stack up in one inbox. That’s how a bid date gets missed.

At 9:05pm

Your estimator sleeps through both: a sample shop’s night, played twice.

Example of a sample glass shop, one night played twice. Before: 6 leads wait for the office to open, the longest for 13h 30m, and the one at the center gets a reply after 10h 11m. The estimator still has no sizes and no glass type, so nobody can quote it. After: an AI agent answers each within 6 min, qualifies the lead, fills the record and books 3 of 6. It hands 3 to a person and one goes cold.

In A cracked lite and one line on the form at 9:05pm.

  1. In: A cracked lite and one line on the form at 9:05pm.
  2. Waiting: The shop is dark. The bid invite waits in the same inbox.
  3. No sizes: The estimator leaves the takeoff to ask for sizes. The back-and-forth starts.
  4. Same night: The same form, the same minute. The reply goes out in three.
  5. Qualified: Consent, then size, glass type and thickness. It collects the sizes.
  6. Booked: Address, deadline and a measure on the calendar. No price.
  7. Handed off: It’s asked for a number. It never quotes, so it goes to the estimator.
  8. Morning: Quotes start with sizes in hand. The bid invite went straight to a person.

  • It collects opening sizes, glass type, photos, address and deadline
  • Target: a first reply in under 5 minutes, day or night
  • Anything it can’t handle goes straight to you
  • Higher plans add custom helpers and the connections to your email, calendar and records

The cycle

AI agents work Prospect. They catch what your site brings in, then pass booked work to the calendar.

  1. Lead

Everything that gets you a lead.

More people find you and reach out.

  2. Prospect

    Turn interest into a sale.

More of them say yes, and you never chase.

  3. Client

    Keep the job moving.

Jobs run on time, with less of you managing them.

  4. Kept or closed

    What happens after the job.

Finished work brings in the next job.

  5. Growth

Feed it back into the machine.

Every finished job helps bring the next lead.

Then it starts again.

CRM: Customers, conversations, bookings, jobs and employee tasks in one place, across all five.

The outcome

Less Work

First replies and basic questions leave your estimator’s desk.

Less Time

Quotes start with sizes and photos already in hand.

Your questions

Can AI quote fabrication jobs?

It can pull the details out of an RFQ email or drawing and draft the reply, but your estimator still checks the scope and sets the price. Most claimed gains come from vendors, and independent tests are hard to find.

AI for Metal Fabrication: What Works Today

Is it safe to put drawings into ChatGPT?

Not if the job is under an NDA or export rules like ITAR, and not on an account that may train on what you upload. Check the tool’s data terms before a drawing goes in.

Does it replace my estimating software or ERP?

No. Takeoffs stay in Bluebeam Revu and production stays in FeneVision or JobBOSS². If you want a link to one of them, we check what it allows before we promise it.
