Phone tag

Buyer’s agents: they want to see it Saturday. Three texts later it is Monday and the home is pending.

No agreement

Buyer’s agents: since August 2024 a written agreement comes before touring. Finding that out at the door is too late.

Missed listing appointments

Listing agents: a seller who asks for a value wants a time, not a drip email. The listing appointment goes to whoever calls first.

Empty model homes

Developers: traffic is thin. An interest list that never gets a tour time is just a list.

Showing scheduling

Three sample agents around one open weekend, the same inquiries twice: first by phone tag, then with a time and an agreement.

Example week of a sample real estate team's calendar, with 31 inquiries in both versions. Before: 8 appointments, 26% of inquiries reaching one, 2 homes gone pending before a time was agreed, and no reminders. After each inquiry gets a booking page with a time, an agent and the buyer agreement first, and a reminder the day before: 18 appointments, 58%, 1 gone pending, and 18 reminders sent.

Before Three texts later it’s Monday, and two homes went pending.

  1. Before: Three texts later it’s Monday, and two homes went pending.
  2. Text: Same text, answered: the right agent and a link to real times.
  3. Picked: Saturday at 11. The buyer agreement comes first, then Sam’s calendar.
  4. Filled: Each inquiry gets a time and the right agent, so the weekend fills.
  5. Reminded: Every appointment gets a text the day before.
  6. Report: More inquiries reach an appointment, which is where agents win.

What you get

  • Showings, listing appointments and sales center tours booked from a text or a form
  • The right agent picked by area, or round robin
  • Your buyer agreement sent before the first tour
  • Text reminders before every appointment
  • Bookings on Google Calendar, Outlook or Calendly

The cycle

Booking is the end of Prospect. A reply turns into a time on the calendar, and the agent takes it from there.

  1. Lead

Everything that gets you a lead.

More people find you and reach out.

  2. Prospect

    Turn interest into a sale.

More of them say yes, and you never chase.

  3. Client

    Keep the job moving.

Jobs run on time, with less of you managing them.

  4. Kept or closed

    What happens after the job.

Finished work brings in the next job.

  5. Growth

Feed it back into the machine.

Every finished job helps bring the next lead.

Then it starts again.

CRM: Customers, conversations, bookings, jobs and employee tasks in one place, across all five.

The outcome

Less Work

No back and forth to find a time.

Less Time

Your calendar can fill without your phone in your hand.

More Sales

More leads reach an appointment, which is where agents win.

Your questions

How do I get more listing appointments?

Answer seller inquiries first and keep following up after other agents stop. Many sellers talk to only one agent, so whoever books the meeting first often gets the listing.

What should I bring to a listing appointment?

Your pricing evidence, a written marketing plan, the listing agreement and your state’s disclosure forms. Since the NAR settlement, bring your commission terms and your stance on buyer agent pay in writing too.

Listing Appointment Checklist for Real Estate Agents

What is real estate appointment setting?

Working a lead until they agree to a meeting: a showing, a listing appointment or a buyer consult. ISAs do it by phone, and our responder does it by text and email and puts the time on your calendar.

Does it work with ShowingTime?

It works before it. ShowingTime runs the request to the listing side through your MLS. We get the buyer to agree a time, then your agent requests it there.
