Owners hear from you when a bill arrives. Tenants hear from you when rent is late. A short note each month changes what both expect from your inbox.

Statement-only owners

The only thing an owner reads from you is the monthly owner statement, and it is mostly debits. They start to wonder what the fee pays for.

Surprise renewal notices

A tenant gets the renewal offer with the rent increase as the first message in months. They start looking at other rentals the same week.

Repair approval silence

An owner approves a repair above their limit and then hears nothing until it shows up as a line on the statement.

Owner letter

Owners stay when they can see what the fee pays for. A sample management company writes to the owners and landlords on its own list, and one asks to hand over his house.

Example of a sample property management company, Quillfield Property Management. Before: the last mail Martin O., landlord had from them is 22 months old. After 64 of 640 names are cut, the campaign “Owner letter, November” goes to 576, and the email “Rents, repairs and a turn in 6 days” lands in that inbox. It opens on one line written for them, and they reply. 12 weeks later 27 have replied and the ledger stands at +$2,850. Leasing and management fees as billed, before vendor costs.

Before Twenty-two months since the last email, a follow-up nobody answered.

  1. Before: Twenty-two months since the last email, a follow-up nobody answered.
  2. Landed: The owner letter goes to owners, past inquiries and landlords.
  3. Opened: Rents nearby, the repair rule and a turn, each in a line.
  4. Replied: A landlord who manages his own house asks to hand it over.
  5. Back: Under zero for two months, then a fourplex signs. The house is still out.

Rents, repairs and a turn in 6 days

Hi Martin, you asked about your Millbank house. Rents there moved this fall.

Three things owners asked us this month: what rents did in Cedar Hollow, what a repair over your limit needs from you, and how fast a unit turns. Reply with an address and I will send a written rent estimate.

    This month

What you get

  • A monthly owner note beside the statement: what changed in your local rental market, what was repaired and why
  • A renter newsletter: seasonal maintenance tips, rent payment reminders, how to file a maintenance request
  • Renewal warm-ups sent ahead of each lease end, before the renewal offer arrives
  • Repair updates for owners, from approval to finished job
  • Every send and reply in your CRM, sorted into owners, tenants and prospects

The cycle

Marketing works Growth: owners who understand what they pay for stay, and tenants who hear from you before renewal tend to stay too.

  1. Lead

Everything that gets you a lead.

More people find you and reach out.

  2. Prospect

    Turn interest into a sale.

More of them say yes, and you never chase.

  3. Client

    Keep the job moving.

Jobs run on time, with less of you managing them.

  4. Kept or closed

    What happens after the job.

Finished work brings in the next job.

  5. Growth

Feed it back into the machine.

Every finished job helps bring the next lead.

    • Marketing

Then it starts again.

CRM: Customers, conversations, bookings, jobs and employee tasks in one place, across all five.

Social posts

Available rentals and owner tips posted for you, so the page is never empty.

AI agents

An AI agent sorts owner, tenant and applicant messages and answers the easy ones.

Missed calls

Booking

Owner consultations and showings book into the right person’s calendar.

The dashboard

Every owner lead and rental inquiry on one dashboard, kept apart.

Reviews and referrals

Owners and tenants get asked for a review after a lease is signed, with a referral link.

Email campaigns

Owners get a monthly market note, and past leads hear about new services.

PostHog analytics

PostHog shows whether owners read your fees page or leave at it.

Session replay

Session replay shows the owner who opened the rental estimate and stopped.

Monthly numbers

Each month you see owner leads, consultations and doors signed.

Every lead reaches one dashboard, and QuickBooks stays for the books.

What we build

The plan

Less Work

Owner notes and renter newsletters get written for you. You approve, they send.

Less Time

Your team stops writing the same repair update by hand for every owner.

More Sales

Fewer owners leave quietly, and more tenants renew instead of moving.

Your questions

What should a property management newsletter include?

For owners: the local rent and vacancy picture, what was fixed and why, and anything changing in your fees or the law. For tenants: seasonal upkeep, how to request a repair, and renewal timing. Short and useful beats long.

What should an owner statement include?

Rent collected, fees taken, every bill paid with the vendor and the unit, reserves held, and the payout. Your software produces the numbers. A short note beside it explaining the big lines saves you the phone call.
